Managing maids, cooks and drivers in your society safely
HousingMS Team · 7 Oct 2026 · 2 min read
In a typical society, domestic helpers — maids, cooks, drivers, nannies — make up most of the people walking through the gate every morning. Treating each of them as a new visitor every day slows the gate down and still doesn't tell you much.
The problems with no system
- The guard doesn't know which helpers are regular and which are new.
- Residents can't easily check whether their maid has arrived.
- When something goes missing, there is no reliable record of who was in which flat.
Register each helper once
Create a profile for every regular helper with:
- Name, mobile and a photo
- Identity proof
- The flats they work in — many helpers serve several flats
- Role — maid, cook, driver, house help
Owners are best placed to add helpers for their own flats; the committee can review the list.
Issue a gate pass
A printed gate pass with a photo and a QR code lets the guard recognise a regular helper instantly — no register entry, no intercom call.
Mark daily attendance
When the helper arrives, security marks them present in one tap. The flats they work in are notified, and the society builds a simple attendance history over time.
Police verification
Just like tenants, domestic helpers should ideally have police verification done. Keep a note of it on their profile.
How HousingMS handles helpers
HousingMS maid & helper management keeps a verified profile for each helper — photo, ID proof and flats served — prints a QR gate pass, and lets security mark attendance in one click while notifying the flats. Owners can add and update helpers for their own flats. Visitors who are not regular staff go through the normal visitor approval at the gate.
