Society complaint management: from WhatsApp chaos to tracked tickets
HousingMS Team · 4 Oct 2026 · 2 min read
"The lift has been out for three days — has anyone told the secretary?" Every society WhatsApp group has seen this message. Complaints posted in a chat scroll away, get answered by the wrong person, or are forgotten.
Why chat groups don't work for complaints
- No owner — nobody is clearly responsible for fixing the issue.
- No status — residents can't tell if anything is happening.
- No history — you can't see how often the same pump fails.
- Noise — a group of 200 people is the wrong place for one flat's leaking pipe.
A simple ticket process
- Raise — the resident describes the issue, picks a category and priority, and adds a photo if useful.
- Assign — the committee hands it to the right person: a committee member, the facility manager or a vendor.
- Track — the status moves from open to assigned to in progress.
- Resolve and close — the resident sees it is fixed; the ticket is closed.
Every change is recorded with the time and the person, so the committee can show exactly what was done.
What committees gain
- A dashboard of open complaints — nothing slips.
- Evidence for vendor and AMC reviews ("the lift failed six times this quarter").
- Fewer phone calls — residents can see progress themselves.
- Calmer group chats.
Doing it in HousingMS
With HousingMS complaint management residents raise tickets from the app, the committee assigns and updates them, and the status flows from open to closed with a full history. Security guards can log issues they notice in common areas too, and open complaints are highlighted on the committee dashboard.
