Society maintenance billing software that runs itself
Set your society’s charges once and HousingMS creates a maintenance bill for every flat on the 1st of each month, emails it to the owner with your UPI QR code, and tracks what is paid and what is due.
It understands how Indian societies bill: fixed charges, per square foot rates, sinking and repair funds as a percentage of construction cost, non-occupancy charges for rented flats, and interest or a late fee once the due date has passed.
What you get
Every kind of charge: Service charges, water, parking, sinking fund, repair fund and non-occupancy — fixed, per sq.ft or a % of construction cost.
Bills on the 1st, automatically: Monthly bills for every flat are generated and emailed with a UPI QR, without anyone pressing a button.
Late-payment interest: Choose no penalty, yearly interest (up to 21% under Maharashtra bye-laws) or a fixed late fee, with grace days.
Member ledger: Every flat has a running statement of bills, penalties and payments — the same view for the treasurer and the resident.
Old dues brought forward: Add opening balances from your old register for one flat or all flats at once.
Share anywhere: Download bills as PDF, email them to owners or send a link on WhatsApp.
How it works
Add your maintenance charges — or pick a preset such as Sinking Fund 0.25% or Repair Fund 0.75%.
Set the due day, grace period and late-payment rule.
Bills go out on the 1st of every month and residents pay online.
Track collections, dues and defaulters on the dashboard and ledger.
Questions about maintenance billing
How is sinking fund calculated for a housing society?
Sinking fund is usually charged as a percentage of the construction cost of each flat each year (commonly 0.25%). In HousingMS you enter the construction cost per sq.ft once, and the monthly sinking fund for every flat is calculated from its carpet area.
Can we charge interest on late maintenance payments?
Yes. You can set yearly interest on the unpaid amount (Maharashtra co-operative society bye-laws allow up to 21% a year), a fixed late fee, or no penalty, plus grace days after the due date. The penalty is applied automatically every night.
Can we bill non-occupancy charges only to rented flats?
Yes. Any charge can be set to apply to all flats or only to rented-out flats.
Can we bring in dues from our old records?
Yes. Opening balances can be added for a single flat or for all flats at once, and they appear on the member ledger.
