Tenant verification in housing societies: KYC, police verification and records

HousingMS Team · 10 Oct 2026 · 2 min read

Owners and tenants register of a housing society

Rented flats are common in every city society. For the committee, each new tenant raises the same questions: who is living in the flat, for how long, and has police verification been done?

Why it matters

  • Security — the society should know who lives on its premises.
  • Police verification is required for tenants in many cities; local police may ask the society for records.
  • Billing — some charges, such as non-occupancy charges, apply only to rented flats.
  • Disputes — a clear record of the agreement period avoids arguments when a tenant leaves.

A simple tenant onboarding process

  1. The owner informs the society before the tenant moves in.
  2. Collect the rent / leave-and-licence agreement, with the start and end dates.
  3. Collect identity proof of the adult occupants and a recent photo.
  4. Police verification — completed by the owner or tenant with the local police; keep a copy of the acknowledgement.
  5. Issue an NOC if needed — some societies issue a leave-and-licence NOC for the owner.
  6. Register vehicles and parking used by the tenant.
  7. Give the tenant a login so they can approve their own visitors and raise complaints.

Keep the records safe

Identity documents are personal data. Keep them where only authorised committee members can see them — not in a shared WhatsApp group or an open cupboard. Where possible, keep masked copies of identity documents.

Don't forget renewals and exits

Agreements expire. Keep track of end dates, ask for the renewed agreement, and record when a tenant moves out so the flat's history stays accurate.

How HousingMS helps

In HousingMS each flat has its owners and tenants on record, with the agreement period, documents, police verification and photos in one place, and a history of past tenancies. Tenants get their own login for visitor approvals and complaints, and the flat's occupancy status drives charges that apply only to rented flats in maintenance billing. Access is role-based, so documents are visible only to the people who need them.
