How to choose housing society management software: a buyer’s checklist
HousingMS Team · 13 Oct 2026 · 3 min read
Moving a housing society from registers and spreadsheets to software is one of the best decisions a committee can make — if you pick the right tool. Here are the questions to ask before you sign up.
1. Does the billing match how your society charges?
Indian societies bill in many ways: fixed amounts, per square foot rates, sinking and repair funds as a percentage of construction cost, and non-occupancy charges for rented flats only. The software should handle all of these without workarounds — and generate bills automatically every month.
2. Can it apply late-payment interest the way your bye-laws say?
Look for a choice between no penalty, yearly interest or a fixed late fee, plus grace days. If interest has to be calculated by hand, disputes will follow. (We explain the rules in interest on late maintenance payments.)
3. Can residents pay online — and can you record cash too?
UPI, cards and net banking for residents, and a way for the treasurer to record cash, cheque and bank transfers in the same register. Part payments should be allowed, and receipts should go out automatically.
4. Is every flat's ledger visible to its residents?
A member ledger — bills, penalties, payments and the running balance — answers "how much do I owe?" without a phone call.
5. Is your data private?
This is the most important question and the one most often skipped:
- Is each society's data isolated from every other society on the platform?
- Can residents see only their own flats?
- Are there roles (Admin, Secretary, Treasurer, Security) with different access?
- Is every change logged — who did what, and when?
6. Does the security guard have something simple?
Visitor entry with a photo, approval from the resident's phone, and a quick option for deliveries. If it's complicated, guards won't use it.
7. Is there a resident app?
Residents should be able to pay, approve visitors, raise complaints and read notices from their phone.
8. Will your auditor be happy?
Income and expenses by category, committee approval for expenses, bank statement import, and exportable reports — income & expenditure, balance sheet, member ledger.
9. How easy is it to get started?
You should be able to import flats and residents from Excel and be running in a day.
10. Is the pricing fair and predictable?
Per-flat pricing is the easiest to budget for: it grows with your society and has no per-user surprises.
